How Is Your Personal Data Collected?
Most of the personal data which we hold is collected directly through the website, by email, over the phone or through face to face interactions and will be directly from you or in some cases might be provided by your colleagues. For example, you might provide certain identity information by completing one of our online forms such as our “Contact” page in order to make an enquiry with us, or by registering for / administering an account which we have with the organisation that you represent, or if request marketing information from us or provide us with feedback.

For example, if you apply to hire a vehicle from us, we may receive Financial Data from credit reference agencies so that we may assess your application. We will use this information to assess your creditworthiness and whether you can afford the service you are applying for, verify the information you have provided to us, prevent criminal activity, fraud and money laundering, manage your account, trace and recover debts, and ensure any offers provided to you are suitable for your circumstances.
Data Retention
One Funding will only retain personal data for as long as necessary to fulfil the purposes it was originally collected for, including, for the purposes of satisfying any legal, accounting or reporting requirements, and for a maximum of up to six years after an organisation and/or individual ceases to have an account with us.
If You Fail to Provide Personal Data
Where we need to collect personal data by law, under the terms of a contract we have with the organisation you represent or for another lawful reason and you fail to provide that data, we may not be able to fully perform our obligations in accordance with our contract, provide you with the information you require or otherwise properly deal with your request.
Automated Decision-Making
We may use your personal data for automated decision-making processes, such as credit scoring, to assess applications. The credit scores we use are provided by a credit reference agency, such as Experian, and are calculated based on the personal data we share with that credit reference agency and other personal data about you which that third party might hold. Marketing & Promotions
From time to time we may use your data including identity and contact data, technical data and profile data and marketing and communications data, to contact you with information about our products and services. You will receive marketing communications from us if you have agreed to be included on our marketing database or in some cases where the organisation which you represent has purchased goods or services from us. The type and content of marketing messages subscribers receive, and if it may contain third party content, is clearly outlined at the point of subscription. Email marketing messages may contain tracking beacons / tracked clickable links or similar server technologies in order to track subscriber activity within email marketing messages. Where used, such marketing messages may record a range of subscriber data relating to engagement, geographic, demographics and already stored subscriber data. You can ask us or third parties to stop sending you marketing messages at any time by logging into the website and selecting the relevant marketing preference or by following the opt-out links on any marketing message sent to you or by contacting us at any time.
Change Of Purpose

Disclosures Of Your Personal Data
We may share your personal data with third parties for the purposes set out in the table above. For example, we may share your personal data with credit reference agencies, such as Experian, so that we may acquire appropriate references and perform necessary credit checks, in order to process your application. They will also give us information about you, such as about your financial history.
We will also continue to exchange information about you with credit reference agencies on an ongoing basis, including about your settled accounts and any debts not fully repaid on time. Credit reference agencies will share your information with other organisations. Your information will be linked to that information of your spouse, and joint applicants or other financial associated.
When credit reference agencies receive a search from us, they will place a search footprint on your credit file which may be seen by other organisations.

We require all third parties to respect the security of your personal data and to treat it in accordance with the law.
International Transfers
One Funding does not itself transfer your personal data outside of the United Kingdom and European Economic Area, however third parties to whom we transfer your personal data may do so. For example, credit reference agencies may transfer your personal data on an occasional and temporary basis to their third party suppliers of technology services in order to support or maintain the services they provide to us.
Data Security
We have put in place appropriate security measures to prevent your personal data from being accidentally lost, used or accessed in an unauthorised way, altered or disclosed. However, data transmission over the internet is inherently insecure, and we cannot guarantee the security of data sent over the internet. You are responsible for keeping your password and user details confidential. We will not ask you for your password at any time.
In addition, we limit access to your personal data to those employees, agents, contractors and other third parties who have a business need to know it. They will only process your personal data on our instructions and they are subject to a duty of confidentiality.

In some cases, we may demonstrate that we have grounds to process your data which override your rights and freedoms.

We will provide to you, or your chosen third party, your personal data in a structured, commonly used, machine readable format. This only applies to automated information which you provided consent for us to use or necessary to perform a contract with you.
Withdraw consent at any time where we rely on consent to process your personal data. This will not affect the lawfulness of processing carried out before you withdraw your consent.
Exercising Your Rights
You will not have to pay a fee to access your personal data (or to exercise any other rights). However, we may charge a reasonable fee if your request is clearly unfounded, repetitive or excessive. Alternatively, we may refuse to comply with your request in these circumstances.
We may need to request specific information from you to help us confirm your identity and ensure your right to access your personal data (or to exercise any of your other rights). This is a security measure to ensure personal data is not disclosed to a person who has no right to receive it. We may also contact you to ask you to clarify your request to speed up our response.
We try to respond to all legitimate requests within one month. Occasionally it may take us longer than a month if your request is particularly complex or you have made a number of requests in which case we will keep you updated.
